Case studies

The record speaks for itself.

Holiday parks, cleaning companies and the cleaners themselves, here's what changes when the work is witnessed.

The scheduling alone gave us our mornings back. What took two hours of messages now builds itself.

40 caravans, one clean record.

A live holiday-let operation moved its entire turnaround onto Tyst, biometric logins for the team, auto-built rotas, photo-evidenced cleans, and a live record the office watches in real time.

Average clean time fell by 11 minutes a unit. Tyst now flags 50+ defects a month, caught and fixed before a guest walks in. Customers are filing five-star cleanliness reports. And because every job follows the same witnessed process, the cleaners have raised their own standard too.

From WhatsApp scramble to a clean record

How one North & Mid Wales cleaning company put every changeover on the record with Tyst.

A cleaner turning around a holiday unit

The witness, in the field. The company runs holiday-let changeovers across multiple sites and unit types in North and Mid Wales. In their first two months on Tyst, they cut time per clean, near-eliminated scheduling admin, and gave caravan and site owners live proof of work, without a single chase call.

Figures cover the first ~9 weeks of live use across caravans, lodges and cottages on multiple sites.

The operation

The company turns around holiday lets across North and Mid Wales, static caravans, lodges, cabins and cottages, on more than one site, to a standard guests notice. Lightning-fast turnaround times are part of the pitch. The problem was never the cleaning. It was everything around it.

Scheduling ran on WhatsApp and email. Who's working, which units, what order, pieced together every week by hand. Once teams were out in the field, often with no signal, the office was half-blind: a clean was either "done" or not, with nothing behind the word. When something was broken or missing, it surfaced days later, by message, with no evidence attached. And owners had no way to see progress for themselves, so they asked, by phone, by email, repeatedly.

Four questions came up every day, and none had a confident answer:

  1. Was it actually cleaned?
  2. What's broken?
  3. What's missing?
  4. What can we prove?

What changed

The company moved the whole operation onto Tyst. Cleaners submit availability in the app; Tyst builds the rota against each unit's requirements and attaches the right cleaning steps for that unit type. Work is witnessed at source, every job carries a photographed, timestamped, location-tagged record. Defects and lost property are logged on the spot with evidence. And owners get a secure, read-only login to watch progress live.

It works offline, which matters when you're cleaning a caravan in a valley with no WiFi. Everything syncs the moment a connection returns.

The results, in detail

Cleaning time: ~7 minutes faster per unit. With the right steps attached to each unit type and no time lost figuring out what's needed or chasing instructions, teams move faster per changeover, around 12% off the average turnaround. Across a busy changeover day that's hours back in the operation, not minutes.

Operational efficiency: scheduling went from a morning to a moment. The weekly rota that used to eat roughly three hours of WhatsApp and email now builds in under twenty minutes. Availability comes in through the app, Tyst matches it to units, and the published rota is something everyone can see, no group-chat roll call.

Tracking issues: from "days, by message" to "minutes, with evidence." Every defect is now logged the same day with photo or video proof, escalated by severity. The gap between an issue being spotted and the owner knowing about it dropped from a couple of days to under five minutes. Disputes that used to come down to who remembered what are now settled by the record.

Reporting to owners: ~70% fewer chase contacts. Caravan and site owners watch progress in real time through their own read-only login and receive defect and lost-property reports automatically. The standing stream of "is it cleaned yet?" calls and emails has largely stopped, because the answer is already on their screen.

Across multiple sites and unit types: one platform, full coverage. Caravans, lodges and cottages across more than one site all run through the same system, each unit type with its own cleaning steps. Proof of work went from "marked done" to 100% evidenced, photographed, timestamped and attributed to the cleaner who did it.

"We were running the whole thing off WhatsApp and trust. Now I can see exactly what's been done, where, and by who, and so can our owners. The chase calls have basically stopped, and the team's quicker on the units. It just runs."
Director, the cleaning company

Why it worked

Tyst didn't ask the team to fight with software in the field. It's offline-first, locked to each person by biometric login, and simple enough to use mid-changeover. The standards were always there, Tyst just made them something you can evidence, not just hope for.

If it isn't witnessed, it didn't happen.
